Upload documents
You can upload files directly to your Knowledge Base — internal docs, price lists, policies — and your AI answers from them the same way it answers from imported website pages. For importing pages from your website, see Import your website.
What you can upload today
PDF (.pdf), Word (.docx), plain text (.txt), CSV (.csv), and Markdown (.md) — up to 25 MB per file, one file at a time. To add several files, upload them one after another.
One thing to know about PDFs: the PDF must contain real text. A PDF that is a scan or a photo of a page has no selectable text for us to read, so it’s rejected with a clear message. If you can select and copy text inside the PDF, it will import.
Not supported yet: HTML files, Excel (.xlsx), images, and scanned PDFs.
Wait — I read somewhere that only XML and TXT work?
That’s a mix-up between two different features, and the real list is bigger. sitemap.xml and llms.txt are website-import URL types, not file uploads — they’re addresses you paste in the website import, not files you attach. For uploads, the full list is the one above: PDF, Word, text, CSV, and Markdown.
Have an HTML file?
You can’t upload .html files today, but there are two honest paths:
- If the page is live on your website, don’t upload it at all — import its address with Single page (no crawl) in the website import. That’s the better option anyway, because you can refresh it later when the page changes.
- If it only exists as a file, save its content as a PDF, .txt, or .md file and upload that.
How to upload
- In the admin app at app.jiviq.com, go to Settings → Knowledgebase and open a knowledge source (or click Add knowledge source to create one).
- In the Import pages card, choose Upload files.
- Drag a file into the dropzone, or click Choose file.
- Wait for the upload to finish. You’ll see: “File added — importing in the background. Watch the progress below.”
Only owners and admins can upload. Members and viewers can see the Knowledge Base but can’t change it.
Every upload is checked for safety. If a file is rejected as unsafe, you’ll see a message saying so — the rest of your Knowledge Base is unaffected.
When does the AI start using it?
After the upload, the file goes through the same import states as a website page: Queued → Importing → Ready.
The moment a file shows Ready, your AI uses it in answers. There is nothing to turn on. This usually takes a couple of minutes.
If the file shows Finishing up instead, the AI service was briefly busy and the import will finish automatically — you can close this page, nothing will be lost. A Finish now button appears if you’d rather not wait. If a file shows Couldn’t import, the most common causes are a scanned PDF with no selectable text or an empty file; fix the file and upload it again.
Once imported, the file appears in the Documents list on the knowledge source page, and you can open its imported sections to see exactly what the AI learned from it.
How to remove a file
- On the knowledge source page, find the file in the Documents list.
- Click Remove on its row.
- Confirm in the dialog. It tells you how many sections will be deleted.
Your AI stops using the content right away. Removal can’t be undone — if you change your mind, upload the file again.
If you want to replace a file with a newer version, remove the old one and upload the new one.
